VENUE/VIRTUAL ADDRESS BOOKING POLICY & TERMS AND CONDITIONS

The following information is supplied to assist you in the planning of your function to ensure you that your event/meeting runs to schedule and smoothly. 

Our events coordinator will confirm details when you finalise your booking date and time, room set up, equipment and catering requirements. A booking is deemed to be finalised once a deposit has been received. 

 

1.    AGREEMENT

Brisbane Business Centre will take all reasonable steps to ensure that the conditions of this agreement are observed, however, we will not be responsible if we are unable to carry out the terms of this agreement due to circumstances beyond our control, i.e. industrial action, Government intervention, electricity power failure, natural disaster (for e.g. fire, flood, storm) etc. 

2.    BOOKINGS 

Bookings may be placed by phone or email and you may also be directed to our website for specific event function room hire. All bookings will be confirmed by email and followed up with a phone call from our events coordinator to confirm your event booking requirements. 

Bookings need to be made at least seven (7) days in advance to allow for catering and other administrative requirements. Should you request a room booking at short notice your catering requirements would need to be confirmed with our caterers to ensure your needs can be met in the short timeframe. 

3.    VENUE /EVENT ROOM CHANGES

Brisbane Business Centre reserves the right to change a function room where they deem necessary. However, every effort will be made to choose an alternative suitable room comparable to that originally chosen.

4.    TENTATIVE BOOKINGS

The booking is not considered confirmed until we have received your booking form with your credit card details or until the full payment has been received.

5.    PAYMENT 

Brisbane Business Centre accepts Visa, MasterCard, PayPal and Direct Bank Deposit. 

For all the bookings that are for future dates with more than 7 days, a deposit of $100 AUD will be required to pay to reserve the venue.

6.    UNPAID INVOICE/DEFAULT

All accounts that remain outstanding after 30 days will be subject to 10% compound interest. All fees incurred by Brisbane Business Centre for the recovery of outstanding debts will be passed onto the client responsible for the initial booking leading to the debt. In the event that the client’s payment is dishonoured for any reason, the client shall be liable for any dishonour fees incurred by Brisbane Business Centre. The client will pay or reimburse to Brisbane Business Centre any costs or expenses incurred by it or its legal advisers and other parties acting on Brisbane Business Centre’s behalf. In the event that Brisbane Business Centre is successful in whole or in part in any action or proceeding related to or arising from this Agreement, client shall be responsible for Brisbane Business Centre attorneys’ fees and costs.

7.    CATERING 

All event catering requirements are to be finalised 7 days from the booked event date. For larger functions 50 to 100 pax catering would need to be finalised 10 days prior to the booked function date. Clients will be required to inform staff of catering requests at the time of the booking.

8.    CANCELLATIONS 

a.    VENUE BOOKING CANCELLATION: 

Booking is not considered confirmed until the invoice is paid. 

If a client needs to cancel; they will remain liable for all agreed fees on a proportional basis as listed below: 

1.    Seven (7) days prior to first day of event: 100%, 

2.    Thirteen (13) – Eight (8) days prior to first day of event: 50%

3.    Fourteen (14) days and prior: 0% (100% refundable)

 

In the event of cancellation by Brisbane Business Centre due to circumstances beyond our control, the client will have the choice to either reschedule the booking or receive a full refund. 

Rescheduling the date of the booking is considered cancellation. Please refer to the above terms. Cancellation fees may be reduced depending upon circumstance and at the discretion of the Brisbane Business Centre.

b.    CATERING CANCELLATION

If a client cancels their catering request, changes the number of people being catered for or changes their menu less than seven (7) days from the booked event date fees and charges will apply in accordance with our cancellation policy. In the event of a cancellation of all catering less than seven (7) days from the booked date a 100% cancellation fee will apply. Should a client reduce the number of people being catered for less than seven (7) days from the booked event the client will pay the full price for those persons. If a client increases the number of persons being catered for less than seven (7) days from the booked event full payment will be made by the client on the day we are notified. Brisbane Business Centre and their caterer’s will assist its clients within reasonable timeframes to ensure these changes can be made. Should the caterer be unable to accommodate the client’s short notice changes Brisbane Business Centre will notify the client to discuss other options. 

Since we use third party to provide the catering, we have no control on the quality or quantity of their food or preparation. However, we do take necessary steps to ensure all our suppliers have relevant accreditation and license required by law to operate their business.

c.     VIRTUAL ADDRESS CANCELLATION: 

Client can cancel the virtual address package at anytime by giving notice of 1 month. On a monthly mode payment, client can cancel the package by giving a month’s notice. Client also need to ensure to remove the virtual address from all platforms (including government & private) to ensure that our address is not used as representation. If the Virtual Address is not cancelled, client is responsible to pay the renewal fees. Client can cancel by online chat, sending text or an email or by visiting in person.  

Client is also required to immediately (within 7 days of the cancellation) remove the assigned address from any of the public facing platforms, including but not limited to website(s), Google My Business listings, Bing business listings, listing directories (for eg. yellow pages), ASIC, bank account, vehicle registration etc. If the address is still found in use, client will be invoiced for the renewal of the virtual address and will be required to pay the invoice. 

For monthly mode, we use Direct Debit payment mode. 

No refunds in case of cancellation of a Virtual Address subscription/services. 

9.    CAR PARKS

Brisbane Business Centre offers 12 onsite car parks, which are based on availability. We can’t guarantee or reserve any parking spots. No refund will be provided in case of cancellation due to unavailability of the parking. Client will responsible for their guest’s car parks and to ensure that they don’t obstruct any other property or car.  

10.    COMPLIMENTARY FACILITIES 

Brisbane Business Centre offers complimentary access to tea coffee, wifi and working kitchen to all the clients with full day bookings. However, these facilities are complimentary in nature. We do our best to ensure kitchen items are up to date but in some instances, if we ran out of it, no refund or discount will be provided against the booking amount.

11.    DAMAGE AND KEYS

The client is responsible for the space allocated to you (the client) during your event. Any damage to your allocated rooms or their contents (or any other part of our venues) incurred as a result of your or your invitees’ (or representatives of either) acts omissions or negligence will result in a charge based on (i) the costs of repair and (ii) the value to us of any subsequent loss of business or trade or other commercial activity suffered by us. 

If you are allocated a key to lock up the building, and this is not returned by 8am the next working day. You will be charged $200 to carer replacement fees.

12.    CLIENT PROPERTY 

Whilst all reasonable efforts are made to ensure our premises are safe and secure, we do not accept any liability for any theft, loss or damage to clients’ and/or visitors’ property. 

13.    CLEANING EXPENSES

Brisbane Business Centre will ensure that the event space/private office is offered cleaned and acceptable order. Client agrees to keep the event space/private office as clean and litter free as possible. Throwing out trash after the event. No food items should be served on the carpet area. If event space/private office is left messy or dirty and if it requires professional cleaning, Brisbane Business Centre will invoice client and client agrees to pay the invoice within 7 days of receipt.

14.    INSURANCE

Client are solely responsible for the security of their property in the workspace. It is their responsibility to arrange insurance for their own property which they bring to the Brisbane Business Centre and for their own liability to their employees and to third parties. Brisbane Business Centre strongly recommends that client put such insurance in place.

Brisbane Business Centre has the right to withhold services, restrict entry into the workspace and shall have a general lien on all of your property physically situated on any part of Brisbane Business Centre premises:

a.    where client have failed to pay for rent or services in accordance with this agreement: or

b.    where client have breached any term of this agreement and fail to remedy that breach within seven days of being requested by Brisbane Business Centre to do so.

15.    LIABILITY 

Brisbane Business Centre does not seek to exclude or restrict any legal liability it may have for death or personal injury resulting from the negligence of Brisbane Business Centre, its employees, consultants or other subcontractors and Brisbane Business Centre and the Client agree that the limitations contained herein are reasonable in the circumstances. Brisbane Business Centre shall be under no liability whatsoever for any loss or damage, which results from or is caused in whole or in part by erroneous information or lack of information supplied by the Client as to the Client’s requirements in relation to the provision of the Services. Brisbane Business Centre shall not be liable in respect of any loss or damage of any kind or however caused to premises or other physical property. In the event of legal liability being established, Brisbane Business Centre shall not be liable to pay for any loss or damage. Brisbane Business Centre cannot accept any liability incurred under the Agreement wherever and to the extent to which the fulfilment of Brisbane Business Centre obligations is prevented, frustrated, impeded and/or delayed as a consequence of any occurrence whatsoever beyond the reasonable control of Brisbane Business Centre

16. PRIVACY

Why do we collect personal information?

We require and collect a valid current Australian photo ID to ensure the address is used by an Australian resident and only for legal business or personal purpose. This helps us to avoid any misuse of the address. Your personal identification information is never shared with anyone except concerned Government authorities with valid request and authorisation (ATO, Police, ASIC). We never use or share this information with anyone else for any reason. 

 

Do we disclose any of your personal information?

We do not share or disclose any of your personal information without your consent, other than for the purposes specified in our Privacy Policy or where there is a legal requirement.

Your personal information may be disclosed to:

• Our professional advisors including lawyers, accountants, tax advisors and auditors;

• Law enforcement bodies to assist in their functions, courts of law or as otherwise required or authorised by law;

• Regulatory or government bodies for the purposes of customer complaints or disputes both internally and externally 

 

Where is your personal information stored? 

We use Zoho platform to manage our systems. According to their website, Zoho stores information in Australian based servers. You can find more information about their data management here and here. 

 

17.    GENERAL 

These Terms and Conditions supersede any conditions associated with client purchase orders unless otherwise agreed in writing. Terms and conditions subject to change.

18.    Acceptance of the Terms & Conditions

Confirmation of a booking/subscription will be taken as acceptance of these Terms and Conditions.
