Terms and Conditions – Brisbane Business Centre
Applies to Serviced Office Hire, Meeting/Event Room Hire, Coworking Desk Hire, and Virtual Address Services
1. AGREEMENT
Brisbane Business Centre will take all reasonable steps to ensure that the conditions of this agreement are observed. However, we will not be responsible if we are unable to carry out the terms of this agreement due to circumstances beyond our control (e.g. industrial action, government intervention, power failure, fire, flood, storm, or other natural disasters).
2. BOOKINGS
Bookings may be placed via phone, email, or through our website. All bookings will be confirmed in writing.
Bookings should be made at least seven (7) days in advance to allow for catering and administrative arrangements. Short-notice bookings are subject to availability and catering limitations.
3. VENUE / EVENT ROOM CHANGES
We reserve the right to change a function room if deemed necessary. A comparable alternative will be provided wherever possible.
4. TENTATIVE BOOKINGS
A booking is not confirmed until the booking form is completed and either full payment or credit card details are provided.
5. PAYMENT
We accept Visa, MasterCard, PayPal, and Direct Bank Deposit. Bookings more than 7 days in advance require a deposit of $100 AUD to secure the venue.
6. UNPAID INVOICES / DEFAULT
Outstanding accounts after 30 days will incur 10% compound interest. Any recovery fees, legal costs, or dishonour fees will be passed onto the client. Clients are responsible for all costs associated with recovering outstanding debts.
7. CATERING
Catering must be finalised at least 7 days prior to the event (10 days for larger events over 50 guests). Catering details must be provided at the time of booking. We use third-party caterers and ensure they have appropriate accreditation, but we are not responsible for their quality or quantity.
8. CANCELLATIONS
a. Venue Booking Cancellation:

0–7 days prior: 100% fee applies

8–13 days prior: 50% fee applies

14+ days prior: 100% refundable
Brisbane Business Centre may cancel due to unforeseen circumstances. Clients may reschedule or request a full refund. Rescheduling is considered a cancellation.
b. Catering Cancellation:

Less than 7 days’ notice: 100% cancellation fee applies.

Reducing guest count < 7 days: full price still applies.

Increasing guest count < 7 days: payment due on notice, subject to availability.
c. Virtual Address Cancellation:
Clients may cancel virtual address services with 1 month’s notice. The address must be removed from all public platforms (websites, ASIC, banks, GMB, vehicle rego, etc.) within 7 days. If still in use, renewal fees will apply at $75 per month OR as per the current policy.
No refunds are provided for cancelled Virtual Address services. There is no cooling-off period.
9. CAR PARKS
6 onsite car parks are available but not guaranteed or reservable. No refunds will be given due to lack of parking. Clients are responsible for guest parking and ensuring driveways are not blocked.
10. COMPLIMENTARY FACILITIES
Full-day venue bookings include tea/coffee, Wi-Fi, and kitchen access. These are complimentary and subject to availability. No refunds are given if items are temporarily unavailable.
11. DAMAGE AND KEYS
Clients are responsible for any damage caused to their allocated space or Centre property. Charges may include repair costs and lost revenue. Lost keys incur a $200 key replacement fee if not returned by 8am the next working day.
12. CLIENT PROPERTY
While we take reasonable steps to ensure premises security, we accept no liability for theft, loss, or damage to client or guest property.
13. CLEANING EXPENSES
Clients must leave their booked space clean and litter-free. Food is not to be served on carpeted areas. If professional cleaning is required, a cleaning fee will be invoiced and must be paid within 7 days.
14. INSURANCE
Clients are solely responsible for the security and insurance of their own property. It is the client’s responsibility to arrange appropriate insurance coverage for:
- Any personal or business property brought into the Brisbane Business Centre.
- Public liability related to their use of the workspace, including coverage for their employees and guests.
Brisbane Business Centre does not accept liability for loss, theft, or damage to any client property. The Centre reserves the right to restrict access or suspend services if payments are overdue or agreement terms are breached.
15. LIABILITY
Brisbane Business Centre does not seek to exclude liability for death or personal injury caused by its negligence. However:

We are not liable for any indirect, incidental, or consequential loss or damage arising from use of our services.

We are not responsible for losses due to inaccurate or incomplete information provided by the client.

We are not liable for any failure or delay caused by circumstances beyond our reasonable control (e.g. natural disasters, power outages, government orders).
16. SERVICE OF LEGAL AND COURT DOCUMENTS
Brisbane Business Centre does not act as a registered office or authorised agent for service of legal documents unless explicitly agreed in writing.
Clients acknowledge:

We are not authorised to accept court documents or legal notices without prior written agreement.

Such documents will be refused and redirected to the client.

We are not liable for missed deadlines or legal outcomes resulting from unauthorised attempts at service.
A separate written agreement is required for us to act as a legal service agent.
17. VIRTUAL ADDRESS MISUSE
Brisbane Business Centre reserves the right to suspend or terminate services without refund if:

The address is used for illegal or misleading activity;

Misrepresentation is made to third parties;

Government bodies raise legal or compliance concerns.
18. PRIVACY
Brisbane Business Centre values your privacy and handles personal data in accordance with applicable Australian laws.

We collect a valid and current Australian photo ID for identity verification. This helps prevent misuse of our services and ensures that our address is used only for legitimate business or personal purposes.

Your personal information is never sold or shared with third parties for marketing. It is only disclosed to:

Law enforcement or government authorities with valid legal authorisation (e.g. Police, ATO, ASIC);

Our professional advisors (lawyers, accountants, auditors) as needed for business compliance;

Service providers we contract to help operate our business (e.g. IT support, legal compliance).

All client information is stored securely using Zoho’s cloud platform, with data centres located in Australia. For more information, please refer to Zoho’s data policies on their official website.

You may request access to your personal data at any time or ask us to update or delete your information as required by law.
19. GENERAL
These terms supersede any client-supplied purchase order conditions unless agreed otherwise in writing. Terms are subject to change.
20. ACCEPTANCE
Payment or booking confirmation is deemed as acceptance of these Terms and Conditions.
